Do I need to sell cookies before any other fund raising event?
You do not need to sell cookies to do other fund raising events, but you should pass out the information and let the girls and their parents determine if they want to sell cookies.

How do I register?
Complete / check or have parents complete / check the GSUSA Girl Member Registration Forms. Check off the racial and/or ethnic background if left blank, also check off the VS1 and/or VS2 box.

Have parents complete a Girls Health History form for your records.

Complete / check the GSUSA Adult Member Registration Forms. Check off the racial and/or ethnic background if left blank, also check off the VS and/or VS2 box. If an adult plans to help drive during a troop event, it is a good idea that they register so they are covered by the Girl Scout insurance. Otherwise they’ll have to complete a special form for each trip.

Complete GSUSA Membership Dues Summary. Remember the level of the troop is determined by the grade of the majority of the girls. Your council code is 101 and your report code is 604.

Separate all registration forms into 2 piles, Council(Original) and Troop (copy).

Deposit all registration fees into Troop account. Write a single check for all registrations, made payable to "GSofCT", and attach it to the forms..

Turn in all council forms with the check to Registrar. A box will be located outside her house for you to drop off forms. Extra registration forms, and troop dues summary forms will be placed in the box if you need them. Girl and adult health history forms can also be found at www.GSofCT.org.

What do I need to do prior to taking a field trip?
The definition of a trip is any time your troop travels to a location other than your normal meeting place.

The most important pieces of information is the adults going, the number of girls going and a detailed itinerary (as specific as you can get), including when you are leaving and returning. If you are transporting girls in private cars, then the driver must be a registered girl scout. It works well to have all parents who plan on attending trips or being involved with your troop to register. You must meet the girl:adult ration on all trips, it will be part of the information that is checked.

Starting with the easiest.

The simplest trip is when are traveling for 3 days or less and doesn't involve anything that is considered high risk, and is not camping. This would include anything done during your meeting time or on a weekend. There is a trip application form on the council web site. For this type of trip, you should fill out the trip application form and send it to the SUM. This information should be into the SUM 2 to 3 weeks before your trip.

The next level of trips is when you are traveling for 3 days or less and it does involved a high risk activity, such as horseback riding, ropes or challenge course, boating, etc. (High risk activities are listed on the applications, as well as anything that involves more skills than the activities listed in Safety-Wise) Use the same trip application as above, this time it must be submitted to Ayodele Shell at CVGSC (Shell@girlscouts-ct.org, or 522-0163 X 229). She will check that the girl:adult ration is met, that all drivers are registered and that the destination has all of the proper insurance certifications. These certifications will include one from us and one from them. Because of the information that has to be checked and the communications between CVGSC and the site you are visiting, CVGSC is asking 30 -45 days notice for these trips.

Camping trip. There are 2 type of forms for these, one for council owned camp sites (Timber Trails and Merriwoods) and one for non-council owned camp sites. These application are also due to council at least 30 - 45 days prior to your trip. If you are requesting a council owned site, you should get it in as soon as you have a date, this will help ensure that you get the location and date you are requesting. Remember if you are taking your troop camping, you must have a camp certified individual with you.

The most extensive trip is one that if 4 days or more, or when traveling outside the US. There is a separate application for this trip. This form should be submitted a minimum of 9 months in advance.

For all trips, even those where you are sending the application to council, notification should also go to the SUM. You can send either copy of your application, or just the basic details with contact information. When traveling, you should also have an updated health form for all traveling with you, including yourself and all adults. This is a precaution.

How do I sign up for training?
When you determine the type of training and the dates you want, check the CT f GS web site. You may also complete the online registration form on the council web site.

What types of training are available?
The town offers a new leader orientation class that will discuss how things work within the town and about resources available through GS of CT council. Council also offers basic leader training for each level, from Daisy up to older girls in high school. There is specialized training available, such as first aid and camping certification. There is also more fun training available, such as origami and songs and games. Check out the program guide and the council web site for more choices and availability.

What are the financial forms for and who do they go to?
The leader manual contains a cash detail record sheet and an Annual Troop Financial Report. The first is to be used as a worksheet. The second should be completed and submitted to the town treasurer or service unit manager at the end of each year. It then gets forwarded to council. These forms provide verification that all money being received by the troop is being spent by and for the troop.

Do I need to make the troop parents join girl scouts?
Parents are not required to join girl scouts. However, parent membership shows parents involvement and commitment to Girl Scouts. Also, if you have an involved parent that drives for field trips, it would be advisable to have that parent join. When you put scouts in a car to transport them anywhere, the driver should be insured under the Girl Scout policy. This is done by having the driver join Girl Scouts.

How many leaders does a troop need? Can the leaders be a husband and wife?
Each troop needs at least 1 leader, but there must to be at least 2 registered adults at each meeting or event. The girl:adult ration depends on the age of the girls. Check your Safetywise to make sure you’ve meet the required number of adults. A husband and wife can lead a troop but they must have a 3rd adult present for each troop meeting/ event.

What happens when my troop decides not to return and I have funds left?
If you have girls that will be returning to another troop, then you can split the funds up to follow these girls. If you are unsure if any of the girls are returning, then the funds should be turned over to the town treasurer and then when they do get placed into other troops, these funds will follow the girls.
Also, any materials, such as craft supplies, that was bought with troop funds, should follow the returning girls to their new troops.

Do I need to have a health history completed each year?
Yes. At the very least a new copy should be completed each year. If any medical information changes, you should also have a new copy filled out. You should have a copy of the health history form for each girl and each adult at an event.

How long should I keep forms?
There is no defined period for which to keep forms. Registration forms may be keep until the following year, allowing the parents to gather information from one year to the next. Permission slips can be destroyed after their use. Health History forms should be disposed of in a confidential manner. You may want to retain financial form for the duration of the troop. Then it is recommended that they be turned over to council.
