Trip Request



The definition of a trip is any time your troop travels to a location other than your normal meeting place. In order to be approved for a trip, you must have completed GSofCT Orientation (for short trips of less than 4 hours), Out & About (for trips long than 4 hours that does not require camping certifications), or Camping Adventures. You must also have a first aider.

You will need to complete the trip request form. Click on the link and save the document to your computer, fill it out, then attach it to an email and send it to the Service Unit Manager, along with a list of attendees (which can be included in the body of the email).


Trip explaination
The most important pieces of information is: the names of the adults going, the names of the girls going and a detailed itinerary (as specific as you can get), including when you are leaving and returning. If you are transporting girls in private cars, then the driver must be a registered girl scout. It works well to have all parents who plan on attending trips or being involved with your troop to register. You must meet the girl:adult ration on all trips, it will be part of the information that is checked. You are asked to complete the trip request form. This information should be sent to the SUM.

This trip information is required for insurance purposes. If something should happen on the trip then it is important that the trip has been approved by all necessary parties.

For all trips, you must obtain a completed parental permission form (this form is saveable). The annual consent form does not cover trips.

Starting with the easiest.

The simplest trip is when are traveling for 3 days or less and doesn't involve anything that is considered high risk, and is not camping. This would include anything done during your meeting time or on a weekend. For this type of trip, you should fill out the trip request form 2 to 3 weeks before your trip.

The next level of trips is when you are traveling for 3 days or less and it does involved a high risk activity, such as horseback riding, ropes or challenge course, boating, etc. (High risk activities are anything that involves more skills than the activities listed in Safety-Wise). The trip application form is on the council web site, which must be submitted to the Service Unit Manager for a signature, then turned into the Membership and Marketing Manager. It will be checked that the girl:adult ratio is met, that all drivers are registered and that the destination has all of the proper insurance certifications. These certifications will include one from us and one from them. Because of the information that has to be checked and the communications between GS of CT and the site you are visiting, GS of CT is asking 30 - 45 days notice for these trips.

Camping trip.
There are 2 types of camping, one is with council owned camp sites and one is with non-council owned camp sites. Camping require the form to be completed and submitted to GS of CT with the SUM signature. The procedure for council owned sites are as follows:
· Complete the SITE Reservation form, have it signed by the Service Unit manager, and submit to the registration department.
· Non-Council owned sites should use the regular trip form, completing Part B. This form should be signed by the SUM and submitted to the Membership and Marketing Manager.
Remember if you are taking your troop camping, you must have a camp certified individual with you.

The most extensive trip is one that if 4 days or more, or when traveling outside the US. There is a separate application for this trip. This form should be submitted a minimum of 9 months in advance. This type of trip must also carry supplemental insurance.

Before traveling you should have parents check the girls' health forms. Also have any parents traveling with you, complete and carry the adult health card with them (this includes leaders). It has been suggested that a copy of all girl forms are placed in a sealed envelope and an envelope be made up for each car. This allows each driver access to information if needed, even when the girls switch cars.
